For purposes of official correspondence the Chairperson's residence is taken to be the Samaj's registered office. The success and achievements of the Samaj are largely the result of the leadership and guidance provided by the Chairperson. The Secretary plays a key role of keeping membership informed of matters of interest and relevance through periodic Newsletters, and in consultation with the Chairperson, calling the committee meetings, setting the Agenda, producing and circulating the Minutes etc. The Secretary is also the custodian of the Samaj Records and Documents. Any individual or family interested in the activities and aims and objectives of the Samaj may apply for the Samaj membership by filling in the Membership Form and sending it with the appropriate fee to the Treasurer. The Treasurer deals with all financial matters and at the end of each calendar year presents a Statement of Accounts for the Year, a copy of which is circulated to all Samaj members. The accounts are open for discussion at the next Annual General Meeting(AGM) which is usually held on the first Saturday or Sunday in August. Coinciding with the AGM an outing is organised which concludes with the "Anil Bhat Memorial" cricket match between the rival teams - The North and The South (of river Thames). The Social Secretary plans and organises all social and cultural events in consultation with and co-operation from the rest of the committee members. The Samaj produces two magazines a year jointly with the Gowda Saraswath Sabha. The one in March/April is published and circulated by the G S Sabha,to coincide with the Yugadi festival.
